Rugby 1823 – Camp & Academy Terms & Conditions

Camp Details & Requirements
Eligibility: These Rugby Camps are specifically for participants of ages between U14’s, U15’s & U16’s. We welcome players of all experience levels, though a basic understanding of rugby and a desire to improve is recommended.
Camp Schedule: Rugby 1823 October Holiday Camp will start on Monday 28th October and run for 3 days till the Wednesday 30th October at Rugby St Andrews Rugby Club (Hillmorton Grounds, Ashlawn Rd, Rugby CV22 5QQ). These sessions will start at 10am with a participants sign in and will finish at 1pm where parents/ guardians will collect their child at the end of the session.
What to Bring: Participants must bring rugby kit including rugby boots, rugby shorts, sports top, gum shield & water bottle. Participants should bring any personal medical supplies (e.g., asthma inhalers). Sunscreen and wet weather gear are advised depending on the forecast.
Booking & Payment
Registration Process: To register for a Rugby 1823 camp, parents/guardians must complete the online registration form [https://docs.google.com/forms/d/e/1FAIpQLSd6c2vjyzOD71WGs47ulMXkOPxsSy2g6nu6aJ63zsQmQqE4Xg/viewform] and provide all requested details.
Payment Terms: Full payment is required to secure a place at the camp. Payment must be made via [payment method e.g., bank transfer, card payment]. Details will be provided after registration.
Refund & Cancellation Policy:
Cancellations made more than 14 days before the start of the camp will receive a full refund, minus a £10 administrative fee.
Cancellations made less than 14 days before the camp will not be eligible for a refund unless the space can be filled by another participant.
Rugby 1823 reserves the right to cancel or reschedule camps due to unforeseen circumstances (e.g., weather, coach availability, etc.). In such cases, a full refund or alternative dates will be offered.
Health & Safety
· Medical Conditions: It is the responsibility of parents/guardians to inform Rugby 1823 of any pre-existing medical conditions, allergies, or injuries that could affect their child’s participation. This must be disclosed during the registration process or by emailing us directly at Max@rugby-1823.co.uk.
· Emergency Contact Information: Parents/guardians must provide up-to-date emergency contact details during registration.
· Liability Waiver: Rugby 1823, its coaches, and staff are not liable for any injuries sustained during the camp unless caused by negligence. Rugby is a contact sport and participants engage at their own risk. We will take all reasonable steps to ensure a safe environment for all players.
· Insurance: Parents/guardians are responsible for arranging any additional personal insurance coverage for their child. Rugby 1823 holds general public liability insurance to cover coaching activities.
Code of Conduct
· Player Behaviour: Participants are expected to follow instructions from coaches, demonstrate respect towards fellow players, and adhere to safety rules at all times. Disruptive behaviour or failure to comply with safety instructions may result in the participant being asked to leave the camp.
· Disciplinary Action: Rugby 1823 reserves the right to remove any participant from the camp without refund if their behaviour poses a risk to others or themselves, or if they repeatedly fail to follow instructions. Parents/guardians will be informed if any disciplinary issues arise.
Parent/Guardian Responsibility
· Drop-off/Pick-up Times: Camp registration will open at 9:50 AM and sessions will conclude at 3:10 PM. Parents/guardians must ensure timely drop-off and pick-up of participants. Rugby 1823 is not responsible for the supervision of participants outside of camp hours unless otherwise arranged in advance.
· Parental Consent: By registering their child for the camp, parents/guardians confirm that they understand the risks associated with participation in rugby and consent to their child’s involvement in all training activities.
Photographs & Media Release
Consent for Photos: Rugby 1823 may take photographs or videos during camp activities for promotional purposes, including on our website and social media channels. If you do not wish for your child’s image to be used, please indicate this on the registration form or notify us by email at Max@rugby-1823.co.uk.
Changes to the Program
Right to Change: Rugby 1823 reserves the right to modify the camp schedule, location, or coaching staff as necessary. Participants will be informed of any changes as soon as possible. In the event of any changes, we will offer a refund or provide an alternative option if the participant can no longer attend due to these changes.
Waivers for Participation
· By registering for Rugby 1823 camps, parents/guardians acknowledge that rugby is a physically demanding contact sport and that injuries may occur despite the best efforts of the coaching staff to minimize risks. Rugby 1823 will not be held liable for any injuries, accidents, or lost property during the camp, except where negligence can be proven.
Data Protection & Privacy
Data Usage: The personal information provided during registration will be used solely for the purposes of organizing and administering the Rugby 1823 camps. This includes emergency contact information, medical details, and payment information. Rugby 1823 will never share this data with third parties without your consent, and all data will be handled in compliance with data protection regulations (e.g., GDPR).
Force Majeure
· Unforeseen Events: Rugby 1823 is not responsible for delays, interruptions, or cancellations of camps due to unforeseen events such as extreme weather, natural disasters, government restrictions, or other force majeure events. In such cases, we will make every effort to reschedule the camp or offer a full refund.

By registering your child for a Rugby 1823 camp, you confirm that you have read, understood, and agree to these Terms & Conditions.
